Description The Right Track is a PC based software program written using the FoxPro database language.  It is designed to allow travel agencies and corporate travel departments to handle all aspects of their non-ARC commission tracking, specifically Hotels and Cars. 

The Right Track was first released in September 1992, and had benefited from several sets of minor enhancements over the next five years.  At the beginning of 1998, Version 2.00 Deluxe of The Right Track was released, which represented the culmination of a two year development project.   Many of the new features were the result of client feedback, and the reviews have been very positive by those who have been using the new version since its pre-sales release in July 1997.

Purpose There is a dual purpose to The Right Track.  First, its unique and powerful features will allow you to track down and recover every penny of your outstanding commissions.  In addition to this, however, its multi-faceted reporting system will allow you to analyze your hotel and car booking trends and make intelligent business decisions based on this data.  The actions you take based on this analysis should not only decrease your receivables, but also significantly increase your non-ARC revenue and commissions earned.
Data Input There are three ways in which data will enter The Right Track. 
  • All of the information can be directly keyed into the system by hand via easy-to-use fill-in screens. 
  • All necessary information can be imported straight from your back-office accounting system.  System Modules have been developed to import (and clean up) data from many of the popular travel back-office systems, including ADS, MAX, WorldLedger 4000, TS2000GlobalWare, Alpha, and TravelBase.  Additional proprietary modules can be written to import data from any system not currently supported.
  • Certain vendors can provide their reconciliation information on diskette, which can then be automatically imported into The Right Track via our Electronic Reconciliation modules.  Currently, we support data provided by Pegasus Commission Processing (formally HCC)NPC (National Processing Company), Marriott Hotels and Holiday Inn Hotels, with additional modules under development.
Reconciliation The Right Track boasts the most efficient check reconciliation environment available today.  By using picklists to narrow the scope of a search, individual checks can quickly and easily be matched to the bookings they cover.  All possible actions are only a keystroke away, including full and partial postings, or marking bookings as canceled, no-show, or non-commissionable. 

With the Deluxe version, there is a Batch Process area, where large reconciliation statements can be processed by generating a list of bookings by vendor and arrival/pickup date, and directly keying in the amounts of each line-item.  All other actions (i.e. cancel, no-show, non-comm) can also be applied to each line-item in this batch list.

Electronic Reconciliation, as described above, will allow for a majority of your bookings to be processed without any human intervention.  This will save you a tremendous amount of time which can be used for more profitable pursuits, such as analysis of your non-ARC booking trends.

Billing The Right Track contains a very feature-rich billing system.   It gives you the ability to prepare invoices and dunning notices to any and all vendors who owe you commissions.  The software is automatically set up for centralized billing, so those hotel chains that remit from their head office will receive one bill encompassing all bookings for all participating properties.  To help with foreign commission collections, invoices can be generated in either USD or the local currency of the vendor.  This way, it will be easier for them to remit your commissions, and as a result, you will receive them much sooner.

Finally, with the Deluxe version of The Right Track, all of the bills can be sent to the vendors via fax directly from your computer, as opposed to the traditional printing, stuffing, stamping and mailing of paper invoices.  Not only will this save you a tremendous amount of money in labor and supplies, it will also reduce your mailing costs, since a typical fax could cost as little as 5 cents to send whereas each letter will cost 39 cents.

Reporting One of the great strengths of The Right Track lies in its reporting system.  Hundreds of different reports can be run to point the microscope at all aspects of your non-ARC business.  These reports, in turn, can be used to affect changes in your booking practices that will increase overall revenues and commissions.  In addition, the Deluxe version of The Right Track will allow you to export report data into any format (i.e. spreadsheet, database, or other proprietary software), so its functionality can be expanded well beyond the realm of our software.

Here is just a sample what Right Track reports are typically used for:

  • Hotel/Car Revenue Sharing with both Customers and Outside Sales Agents.
  • Showing which customers are guilty of massive cancellations / no-shows and non-commissionable bookings so that some sort of service fee structure can be set up.
  • Charging Service Fees on Hotel and Car Bookings to Customers and Agents.
  • Switching business within a specific city to those vendors who pay commissions promptly and in full.
  • Running incentive programs designed to get your agents to make more hotel and car bookings.
  • Determining which vendors are frequently used by specific  customers and negotiating with these vendors for lower rates for that customer.
  • Showing the market share of vendors within a specific city so that you may swap increased market share to one vendor in return for increased commission percentages per booking.
  • Finding out which vendors owe the most commissions so that the dunning efforts can be targeted to avoid wasteful and unproductive billing.
Versions Version 2.00 of The Right Track comes in two distinct versions, Standard and Deluxe.

The Standard version is essentially the same as our old 1.2 version, which has helped agencies for the past 6 years to recoup thousands of dollars in commissions which would otherwise have been lost.  It is our lowest costing software, and is great for those smaller agencies who want a very effective commission tracking tool but do not need the advanced functionality of the more expensive Deluxe version.

The Deluxe version of The Right Track represents the state-of-the-art in commission tracking software, containing everything in the Standard version plus 54 additional features.  The most notable additions are the ability to fax invoices, a Batch Process area for reconciliation, full Service Fee capabilities, and enhanced reporting options.  The Deluxe version is designed for true power users and will allow even the largest agencies to cost-effectively handle their non-ARC commission tracking.

Both versions run under the Windows operating system and are compatible with Windows 3.1, 95, 98, 2000, and NT.  The Deluxe version is also available in a 32-bit variety, which is more compatible with today's more sophisticated hardware and software.   The Standard and Deluxe versions can be run in both single-user and multi-user environments.  To find out more about the specific features of each version, browse through our Features Summary area.

Lease The Right Track can only be acquired on a lease basis.   The actual cost of the software is dependent on three factors: the lease term (either Monthly or Yearly), the desired version (either Standard or Deluxe), and the booking capacity required.  By allowing a variable booking capacity, we can make this product affordable to agencies of all sizes, because each agency is only paying for the number of bookings that they will need to track.  Each lease comes with all the necessary software as well as full technical support via phone or the internet.  For more information on the pricing, packaging, and training options, please view our Price Lists area.
Recovery It is generally estimated that travel agencies who do not track their non-ARC commissions, or use weak tracking methods will lose up to 50% of their hard earned money.  We feel, based on our own experiences and research, that this number averages 38%

Over the years, many of the agencies who implemented The Right Track have seen commission intake increases of 45% and more.  This is literally hundreds of thousands of dollars in the bank that has been directly attributed to using The Right Track for non-ARC commission tracking.
